The Philadelphia Chapter of AIA (American Institute of Architects) and the DesignPhiladelphia are seeking a part-time Bookkeeping Assistant to work in person in our office. AIA Philadelphia is a trade association that has over 1,800 architect members and its mission is to serve its members through advocacy, professional development, networking, and celebration of design excellence. DesignPhiladelphia is a non-profit organization that focuses on engaging, educating, and exciting the public about the built environment and design and its impact on all of us. AIA and DesignPhiladelphia are separate organizations that share an office and several staff.   


Reports to: Executive Director 
Location: 1218 Arch Street, Philadelphia, PA 19107 
Compensation: $35-$40 per hour. 
Hours: This is a part-time position for 8-10 hours per week

Responsibilities will include:

  • Organize and keep track of Accounts Payable, including what has and has not cleared bank account, prepare list of invoices to be paid weekly. 
  • Organize and keep track of Accounts Receivable, prepare invoices and submit to vendors on a weekly basis. 
  • Collections- follow up via phone and email on past-due invoices 
  • Contract management- follow up with program directors and ensure valid contracts are in place 
  • Other routine bookkeeping responsibilities 
     

Qualifications 

Experience: At least five (5) years of bookkeeping experience, preferably with a non-profit organization. 

  • Working knowledge of Microsoft Excel and skills in word-processing required. 
  • Working knowledge of Bill.com and password managers, such as 1password.
  • Ability to work independently with minimal supervision, to multi-task and to work collaboratively and cooperatively, as a member of a team. 
  • Must be organized and able to set priorities and to ensure timely completion of responsibilities. 
  • Must have a high level of comfort using email and phone for communication. 
  • Willing to work on various tasks as assigned.  
  • Attention to detail and accuracy. 
  • Excellent data entry skills.
