Full Charge Bookkeeper for Architectural Firm
A small Philadelphia architecture firm is seeking a part-time full-charge bookkeeper for approximately one day per week. This is potentially a hybrid in-person / remote position, but some amount will have to be performed in the office.
Applicants must have experience with job tracking and time tracking. Proficiency in QuickBooks, Excel, Word, and other Office applications is required. Detailed professionalism, self-direction, and excellent communication skills are also required. Understanding the architecture industry is highly desirable.
Weekly responsibilities include A/R, A/P, vendor and customer correspondence, time tracking, job tracking, account reconciliations, payroll interface, 401(k) administration, and light HR duties.
Responsibilities will also include tracking complex receivables and payables, including multi-phase invoicing and vendor payment schedules. This requires timely communication with project managers to ensure accurate invoices are issued in a timely fashion.
Monthly and annual responsibilities include worker's comp audits, correspondence with the company's accountants, monthly and annual financial reports and adjusting journal entries, up-to-date record keeping and filing, and cash-flow management.

Recording payroll journal entries
Tracking job costs including payroll
Managing 401(k) submittals
Light HR setup and recordkeeping
Vendor and client correspondence
Adjusting journal entries as needed
Backing up QuickBooks and proper document retention
